Cancellation policy 2017/2018 (Scotland)
We understand that booking a room in student accommodation can be a big decision. We also know that bookings are often made before you know what your exam results will be and that your personal circumstances may change unexpectedly prior to you moving into your new accommodation.
This policy sets out the process for requesting a cancellation and the fees involved.
We require to take payment from you of a non-refundable deposit in the sum of £250.00.
In accordance with our cancellation policy (detailed below), should you cancel your booking within the next 14 days, that sum will be refunded to you, provided you have not moved in to your accommodation. In all other cases, should you choose to cancel your booking you will forfeit said payment, which will not be returned to you.
1. Cancelling within a 14 day period (14 day ‘cooling off period’)
If you have not already moved into your accommodation, you may request to cancel your booking in writing or email to the General Manager at your chosen location at any time during the 14 days after you have paid your deposit. Once we have received this request in writing, we shall confirm receipt of your cancellation and refund your deposit of £250 back to you.
2. Cancelling before 31st July 2017
Outside of the 14 day cooling off period and prior to 31st July 2017, you may request to cancel your booking in writing or email to the General Manager at your chosen location. Once we have received this request in writing we shall confirm receipt of your cancellation. Unfortunately we will retain your deposit of £250 as we will have to re-sell your room to somebody else, however your SAT will be terminated and no other fees applicable.
3. Cancelling after 31st July 2017
Outside of the 14 day cooling off period and after the 31st July 2017, you may request to cancel your booking in writing or email to the General Manager at your chosen location. You will be fully responsible for finding a suitable replacement student to take over your SAT and all rents. Only when a suitable replacement has been found will we release you from your SAT however we will retain your Deposit of £250. If no suitable replacement is found we shall retain your deposit until all mounts due under your SAT are received. The Student Housing Company has the right to charge £100 if you have already moved into your accommodation to cover the costs of cleaning and preparing the room and new documents for the replacement student.
4. One less worry if you don’t receive your grades!
This is applicable to first year students only.
If you are not successful in obtaining your place at your chosen University then don’t worry, we can help. Firstly we may be able to transfer you to another one of our properties if you are going to study elsewhere. If not, we will consider a release from your SAT providing the following criteria are met:
- You submit your request to cancel in writing or email to the General Manager at your chosen location before 19th August 2017 and;
- You have provided the General Manager with a copy of your rejection letter from the University or UCAS.
Once we have this, we will confirm receipt of your request to cancel and refund your deposit of £250 back to you and any advance rent payments.
